Privacy Policy

The William H. Douglas Foundation (“WHD,” “we,” “us”) operates WHD Reach and the website at whdfoundation.org and app.whdfoundation.org (the “Service”). This policy explains what information we collect, how we use it, and the choices you have. We are a California 501(c)(3) nonprofit.
Information we collect
- Account information — your name, email, and password when you create a supporter account.
- Giving information — donations, memberships, coaching, and sponsorships you make, including amounts and dates. We do not collect or store full payment-card numbers; payments are handled by our payment and accounting providers.
- Program information— for students and families in our programs, information needed to provide advising and support. Student accounts are created and used only with the consent described under “Children’s privacy” below.
- Communications — messages, consultation requests, and support inquiries you send us.
- Usage and device data — basic technical information (such as IP address and browser) used to operate and secure the Service.
How we use information
- To provide the Service, process gifts, and issue tax receipts.
- To deliver advising, programs, and support to students and families.
- To keep accurate financial and donor records (accounting).
- To communicate with you about your account, gifts, and events.
- To secure the Service and comply with legal obligations.
We do not sell your personal information.
Service providers we share with
We share information only with vendors that help us run the Service, under agreements that limit their use of it:
- Supabase — secure database and authentication hosting.
- Vercel — application hosting.
- Intuit QuickBooks Online — accounting. When you give, we may record the transaction and your name/email as a customer and sales receipt in our QuickBooks company to keep our books accurate.
- Payment processor— to process donations and recurring memberships. Card details are entered on the provider’s secure, hosted checkout; we never see or store them.
We may also disclose information if required by law or to protect the rights, safety, and security of our community and the Service.
Children’s privacy
Public supporter/donor accounts are for adults. Where the Service is used by students who are minors, we follow a parent/guardian-consent model consistent with COPPA and applicable student-privacy laws (including California’s SOPIPA): a parent or guardian consents before a student’s account is activated, student data is used only to provide educational support, and it is never sold or used for third-party advertising.
Data retention and security
We retain information for as long as needed to provide the Service and to meet legal, tax, and accounting obligations, then delete or de-identify it. We use industry-standard safeguards, including encryption in transit and database-level access controls. No method of transmission or storage is perfectly secure.
Your choices and rights
- Access, correct, or delete your account information.
- Cancel recurring memberships at any time.
- Opt out of non-essential email.
- Request a copy of your data or its deletion, subject to records we must keep for legal/tax purposes.
